Remember- your primary reason for being overseas is to take part in an academic program. This means that your studies still need to remain a top priority while you are away.

You will want to practice balancing your studies with the adventures you are having because it will be important to keep on top of deadlines and a new way of studying in a new country/academic culture. There are also a few administrative requirements you need to be aware of for Exchange, including your enrollment and making sure your Study Plan is current. Keep reading for more information.


Enrolment Administration
How do units and enrolment at Swinburne work for Exchange?
Swinburne Abroad will ensure you are enrolled at Swinburne for the appropriate semester/term intake for your exchange program.

You will NOT be enrolled into regular units on Exchange as you will not be studying them. Students are enrolled into the appropriate "Exchange holding codes" for their exchange program - either 37.5/50CP for Semester Exchange or 12.5/25CP for Short-term Exchange.

Exchange holding codes are units we create for exchange to ensure you are still enrolled at Swinburne as a student and that you are charged the correct tuition fees.

Once your exchange program ends, your host university will provide you with a transcript with your final results. Credit exemptions will be applied to your Swinburne units based on your transcript and approved study plan.

NOTE: Grades will not be transferred over to your Swinburne degree, unless you are studying at Swinburne Sarawak.
Students will need to enrol in both:
  • The correct Swinburne “exchange” subject code (Swinburne Abroad team will do this for you)
  • The correct host university subjects (this is your responsibility)

Students will also need to:
  • Re-enrol in their next semester subjects before their return
  • Collect/ensure delivery of transcripts to Swinburne Abroad after their Exchange program

Unit Enrolment 

You must ensure your enrolment is amended before going on Exchange. Swinburne Abroad will liaise with the enrolment team on your behalf to enrol you in the correct exchange code at Swinburne during the semester/term. This ensures your exchange is recorded at Swinburne, still enrolled, and you are charged the correct tuition fees.
Before you go on exchange you will need to check your enrolment to verify that you are correctly enrolled. If you are not enrolled in an exchange holding code, please contact Swinburne Abroad.
Host university subject enrolment
Your exchange study plan outlines the units you intend to take while abroad at your host university, and confirms they have been approved by your Course Director or Enrolment Specialist.

You must ensure that you’re enrolled in the approved units and that your class load is equivalent to a full-time study load at Swinburne.

Extending your Exchange program at your Host University

If you are wanting to, or thinking about, extending your Exchange Program, you need to get a new approved Study Plan and then inform Swinburne Abroad. Swinburne Abroad will then check with the host institution if its possible for you to extend.

If you need to complete subjects different to those that were approved for CORE units in your approved study plan, you must get new approvals for these subjects from your Course Director; and then send the updated Study Plan to Swinburne Abroad.
 

This is an important step to ensure you receive academic credit following the completion of your Exchange program.

NOTE: class changes that were approved for elective units do NOT need new approvals.
 
If you are having any enrolment or subject-related concerns whilst overseas, you need to contact Swinburne Abroad. 
Certificate of Arrival Form
Your unit enrolment at your host university will likely be confirmed after you arrive. Upon arrival at your host university, you must confirm that you have arrived at your host university and been enrolled into your units, by getting the certificate of arrival form signed.

 

Visit the study abroad/mobility/international office to get this form signed and return it back to Swinburne Abroad via exchange@swin.edu.au within 3 weeks of your arrival.

*Short-term exchange students must return it within 1 week of their arrival.

Withdrawing/Adding/Changing subjects
Expect that changes may occur to your enrolment. Make sure you are aware of who to contact in your faculty as they change. You must ensure these three things are fulfilled:

Study Workload
Ensure that you maintain a full time study workload whilst on exchange –
the equivalent of 37.5 or 50 credit points for Semester Exchange.

For Short-term Exchange (Winter/Summer term) - a full-time load is 12.5 or 25 credit points.

Approval
Your Course Director must give you approval for any changes you make to core units on your Study Plan.
Pre-requisites
Remember that your subjects abroad may need pre-requisites to undertake. Similarly, subjects at Swinburne may also have pre-requisites. Ensure that you are covered either way.
Re-Enrolment back into your Swinburne Course
Before returning home, you must enrol into your units for the next semester of your course before any deadlines advised from Australia.

Check the Swinburne Canvas system, or your Swinburne student email.

If you enrol into your units late, you may be penalised financially. You could also run the risk of not being able to enrol into your preferred course subjects.
Transferring your Exchange results to Swinburne
Upon the completion of your Exchange program, an official academic transcript (or a completion letter) showing all the courses you enrolled in and the grades you received will be sent to Swinburne Abroad or directly to you.

It is your responsibility to ensure you know where the transcript will be sent to.

If your transcript is sent to Swinburne Abroad, you will be notified upon receipt, and a copy will be sent to the Enrolments team together with your approved study plan so that your student record can be updated.

If the transcript is sent to you, you need to submit a copy to Swinburne Abroad immediately, so that we can email the Enrolments team to get your credits transferred to your Swinburne degree.

Please note that your transcripts will need to match your approved Study Plan. In the case that it doesn’t match, you will need to get further approvals from your Course Director for any new units that you completed. (Unless they are ALL electives, in which you will not need new approvals).
